Definitions
Wherever the following words and phrases appear in this Personal Information Collection Statement (“PICS”), they will have the following meanings:
- “SR” means an approved share registrar approved by the Federation of Share Registrars to maintain the register of shareholders or warrantholders in Hong Kong
- “App” means the Investor Centre Hong Kong mobile software application, which is available for download on App Store or Google Play, on which you may be able to view and/or give instructions in relation to your holdings administered by us;
- “Computershare”, “we” or “us” means Computershare Hong Kong Investor Services Limited and/or Computershare Investor Services Limited (as the case may be), which are wholly owned subsidiaries of Computershare Limited;
- “Computershare Group” means Computershare Limited and its subsidiaries;
- “SFC” means the Securities and Futures Commission of Hong Kong; and
- “Stock Exchange” means The Stock Exchange of Hong Kong Limited.
This PICS sets out the information that must be provided to the users of the App ("you") as before Computershare ("we", "us" or "our") collects and uses your personal data as required by the Personal Data (Privacy) Ordinance (the "Ordinance") in relation to your access to and use of the App. This PICS forms part of our terms and conditions (including the terms and conditions applicable to your access to and use of the App) and any other agreement or arrangement you enter into with Computershare. The Computershare Privacy Policy Statement outlines how we manage your personal information. It also describes generally the sorts of personal information held and for what purpose, and how that information is collected, stored and used. The privacy policy statement may be updated from time to time and is published on the following webpage Privacy Policies.
1. Personal data collected and held
We may collect from you and hold some or all of your personal data such as the following to enable us to provide the services in relation to your access to and use of the App:
- your name;
- your facial scan or image;
- your Hong Kong Identity Card, passport or other identification document details;
- your contact details, including contact number, mailing address and email address;
- your bank account information;
- information about the securities you hold, held or intend to hold;
- your specimen signature; and
- other details which you agree to provide.
The App may also collect data relating to your online session including your IP address and/or domain name, the use of which is to provide aggregated, anonymous, statistical information on the App's usage so that we may better meet the demands and expectations relative to our products and websites.
2. Reasons for the collection of your personal data
It is necessary for you to supply your latest, correct personal data to Computershare, its agents and/or subcontractors when applying for access to or using the App.
It is a must for you to provide the requested data to Computershare. Failure to supply the requested data may result in your access to or use of the App being rejected, or in the delay or inability of Computershare to provide the relevant services. It may also prevent or delay registration or transfers of your holdings, receipt of any payment or distribution or other entitlements (if applicable) or any notice or advice from us or from third parties.
It may also prevent Computershare from providing services to the issuer(s) in which you hold or held securities (“Issuers”) or to you on behalf of Issuers. It is important that you inform Computershare via the App immediately of any inaccuracies in or changes to the personal data supplied.
3. Purposes
Your personal data may be used, held and/or stored (by whatever means) for the
following purposes:
(i) to help confirm your identity so as to have you onboarded as a registered user of
the App;
(ii) to allow you to establish, maintain and operate your USI profile, and to allow you to
use any other services provided by us;
(iii) to allow you to operate and make use of functions in the App such as connecting
securities to the USI profile;
(iv) to enable compliance with applicable laws and regulations in Hong Kong and
elsewhere and making disclosures as required by laws and regulations;
(v) to allow us to detect, monitor, investigate, prevent and mitigate fraudulent,
suspicious, or illegal activities;
(vi) in our capacity as the SR of the Issuer(s), to disclose your data to the Issuer(s);
(vii) to enable us to provide services to the Issuers or to you (as the case may be),
including without limitation:
- maintaining or updating the register of holders of the Issuer(s);
- conducting or assisting the conduct of identity verifications, any other verification or exchange of information;
- facilitating distributions or dividend entitlements and other corporate actions;
- facilitating communications from the Issuer(s) to you as security holders;
- handling security-holder inquiries on behalf of Issuers;
- compiling statistical information and shareholder profiles;
(viii) providing other services requested by the Issuer(s) or by you;
(ix) any other incidental purposes relating to the above and/or to enable us to discharge
our obligations to holders of securities, the Issuer(s) whose securities are
administered by us, the regulatory authorities and/or any other purposes to which
you may from time to time agree; and
(x) to carry out anonymised and aggregated data analysis to provide, support,
personalise or enhance existing or new services offered to our issuer clients, and
securityholders and for any business purposes.
In most circumstances, Computershare only acts as a data processor; processing personal data on behalf of and under the instructions of our issuer clients. In these situations, Computershare does not determine the purposes or means of processing.
In certain other limited scenarios, Computershare collects, uses, and retains your
personal data as a data controller for the purposes stated above, including USI profile
opening, onboarding and identity verification and regulatory compliance etc.
4. Transfer of personal data
Your personal data held by Computershare will be kept confidential, but Computershare may, to the extent necessary for achieving the above purposes collectively or individually, make such enquiries as it considers necessary to confirm the accuracy of the personal data and in particular, it may disclose, obtain, transfer (whether within or outside Hong Kong) your personal data to, from or with any and all of the following persons and entities:
(i) a member of the Computershare Group which owes a duty of confidentiality to Computershare;
(ii) any agents, contractors or third-party service providers who offer administrative, data and communications, telecommunications, identity verification/know-yourcustomer, computer, payment/transaction, or other services to Computershare in connection with the operation of its businesses and provision of services;
(iii) any law enforcement agencies and/or regulatory bodies or authorities for compliance with applicable laws, rules, regulations, codes and/or guidelines and/or any person or entity to whom Computershare forms the view, based on reasonable grounds, that we are required to make such disclosure);
(iv) any other persons or institutions with which the securities you have or propose to have dealings, such as their bankers, solicitors, accountants or stockbrokers;
(v) your authorised agents, your executor, administrator or legal representative;
(vi) anyone to whom you authorise us to disclose it;
(vii) in the event we cease to be the SR of the Issuer, the new SR appointed by the Issuer, the Issuer or its specified party.
5. Personal data of another person
Where you have provided us with another person’s personal data, you should provide him/her with a copy of this PICS and inform them of how we may use his/her data.
6. Storage and security of personal information
We are committed to keeping your personal information secure. We use reasonable precautions to protect it from loss, misuse, interference, unauthorised access, modification or disclosure such as maintaining network security, securing our premises and staff training.
You can help us protect your privacy by keeping your login details and USI profile number confidential and secure and updating them via the App immediately when you change contact details.
7. Access and correction of personal data
The Ordinance provides you with rights to ascertain whether Computershare holds your personal data, to obtain a copy of that data and to correct any data that is inaccurate. In accordance with the Ordinance, Computershare has the right to charge a reasonable fee for the processing of any data access request. All requests for access to personal data or correction of personal data or for information regarding policies and practices and the kinds of personal data held by Computershare should be addressed to Computershare as follows:

The App may, from time to time, contain links to other websites. This PICS only applies to the App so when you visit other websites via these links you should read the privacy policies of the other websites.
9. Versions
If there is any inconsistency or conflict between the English and Chinese versions, the English version shall prevail. The English version of this PICS prevails to the extent of any inconsistency between the English and Chinese versions. Any Chinese version of this Personal Information Collection Statement is for reference only.
